Procedures & Guidelines

As one of the benefits of joining the IAHI, you receive an IAHI Membership Card, which entitles you to complimentary rooms at all member hotels.  Likewise, as an IAHI member hotel, you will be welcoming IAHI member cardholders to your property and extending the courtesy of complimentary room nights.

Here are the guidelines for card issuance and those to follow for using your IAHI Membership Card, and loading the INIHI rate code at your property.

Card Issuance Guidelines

  • Membership cards will only be issued on receipt of the dues for all InterContinental Hotels Group properties that you own and/or operate.
  • If you own or operate a single IHG property, one membership card will be issued when dues are paid. You may purchase one additional card.
  • If you own or operate more than one IHG property, two membership cards will be issued when all dues are paid. You may purchase two additional cards.
  • Requests for additional cards are limited to those who have ownership in the hotel(s) or are executives of the management company as designated in the license agreement.
  • The Principal Correspondent must approve all requests for secondary and additional cards.
  • Hotels that enter the IHG system during the calendar year must pay their dues in order for the PC to remain a valid member in good standing.
  • Should your hotel be removed from the IHG system during the 2008 calendar year, your membership for the terminated hotel will be cancelled. No refunds will be issued.
  • Please allow 10-14 business days for the IAHI to process card requests. 

The cardholder is responsible for adhering to the rules and regulations of the card program. If it is determined that a cardholder has abused the privileges of membership and/or conducted himself/herself in an unprofessional manner, the IAHI membership card may be terminated. Card Usage Guidelines

  • The cardholder is entitled to four room nights per year, in standard accommodations, at each member hotel. Each stay should not exceed two consecutive nights and may not exceed two total nights per month.
  • Only the cost of the room is complimentary. Members will be responsible for all incidental charges and all applicable taxes. Only the cardholder may use the card. The cardholder must be present at check-in and photo identification is required.
  • Advance reservations must be made by calling the IAHI Reservations line at 1-877-500-IAHI (4244). Outside the U.S., Canada, and Europe, please call 001-770-604-5555. In Europe, please call our International Reservations line at 00800-62-800-800 to be connected with a reservations operator. In order for the reservation to be complimentary, you must receive a confirmation number and the hotel must be a participating member of the IAHI. It is recommended that you verify your room reservation one week prior to arrival.
  • One complimentary room per hotel per group is allowed. (This includes secondary and additional cardholders.) Cardholders from the same hotel and/or company are not allowed to use their IAHI card for complimentary rooms at the same time or during the same visit.
  • The IAHI card may not be used during group meetings, conventions, and hotel industry-related meetings/events (including IAHI and IHG meetings/events). Card usage is also restricted during special events as designated in the HOLIDEX® Plus reservation system at the time of booking. Both member hotel and cardholder have responsibility for being aware of industry-related events. Member hotels are urged to keep current on events that will impact their destination and utilize blackout and special event designations for such events. Responsibility by both parties will eliminate unnecessary issues.
  • Cancellation Policy: To cancel a reservation, the cardholder must call the IAHI Reservations line at 1-877-500-IAHI (4244) and obtain a cancellation number. No-show charges will be handled at the discretion of the General Manager.
  • The IAHI member card is non-transferable.
  • Priority Club® points are not awarded on IAHI complimentary room stays.

The cardholder is responsible for adhering to the rules and regulations of the card program. INIHI Rate Code Loading Instructions

As a participating member of the IAHI, your hotel must also participate in the Complimentary Room Program. The program is sold through the HOLIDEX® Plus system and is booked through the CRO channel. To ensure CRO can book a room, if available, please ensure your systems are set up:

  • Activate Rate Category INIHI in the HOLIDEX® Plus system.
  • Activate and associate a Rate Code to Rate Category INIHI. The Rate Code must meet the Rate Property criteria (Yield at IGCOR). Since this is a complimentary room program, the rate is set a $0.01 for room types you select.

  • Member Hotels are allowed up 50 blackout dates for Rate Category INIHI.

  • The INIHI rate is not available during a Special Event or Special Requirement as defined in HOLIDEX® Plus. To request a Special Event/Special Requirement, contact IHG Data Management at datamgt@ichotelsgroup.com

  • For hotels without the Opera PMS (with rate download), ensure that Rate Category INIHI is set up and appropriately cross-referenced in your PMS.

Q: Do I have to accept IAHI reservations at my hotel(s)?

A: Yes. As a participating member of the IAHI, your hotel must participate in the Complimentary Room Program (Rate Code INIHI). The program is sold through the HOLIDEX® Plus system and is booked through the CRO channel. To ensure CRO can book a room, if available, please be sure your systems are set up. Detailed loading instructions can be found on www.myiahi.org.

Q: How many blackout/special event/special requirement dates will my hotel receive each year?

A: Member hotels are allowed up to 50 blackout dates for the INIHI rate. For more information on special events/ special requirements, refer to your HOLIDEX® Plus Management Function manual, Section 430.35.

Q: Can an IAHI member book the complimentary rate during a hotel industry-related event in my destination even if they are not attending the event?

A: No. An IAHI member may not book the complimentary rate during group meetings, conventions, and hotel industry-related meetings/events (including IAHI and IHG meetings/events). However, both member hotel and cardholder have responsibility for being aware of industry-related events. Member hotels are urged to keep current on events that will impact their destination and utilize blackout and special event designations for such events. The use of the card is restricted during special events as designated in the HOLIDEX® Plus reservation system at the time of booking. Responsible practices and adherence to guidelines by both the member hotel and cardholder will eliminate unnecessary issues.

Q: Will the IAHI member contact my hotel directly to book a room at the IAHI complimentary rate?

A: No. Advance reservations must be made through the CRO by calling the IAHI reservations line at 1.877.500.4244 and members must receive a confirmation number.

Q: If an IAHI member has booked an advanced IAHI reservation but my hotel reaches full occupancy, do I have to honor the reservation?

A: Yes. If an IAHI member has a valid reservation booked in advance through the CRO (IAHI reservations line), the reservation must be honored.

Q: When an IAHI member checks into my hotel under the INIHI rate code, should I take their credit card information?

A: Yes. Only the cost of the room is complimentary. Members will be responsible for all incidental charges and applicable taxes.

Q: What does an IAHI member need to present upon check in at the hotel?

A: An IAHI member should present their valid IAHI member card, a photo ID, and a credit card. Only the cardholder may use the IAHI card.

Q: If I stay in a city for four nights, may I book the IAHI rate for all four nights?

Q: If I’m traveling to a city during a hotel industry-related event, but I’m not attending the event, may I book the IAHI rate?

Both member hotel and cardholder have responsibility for being aware of industry-related events. Member hotels are urged to keep current on events that will impact their destination and utilize blackout and special event designations for such events. Responsible practices and adherence to guidelines by both the member hotel and cardholder will eliminate unnecessary issues.

Q: Can I use my IAHI card to book complimentary reservations during the IHG Investors & Leadership Conference?

A: No. The IAHI card may not be used during group meetings, conventions, and hotel industry-related meetings/events (including IAHI and IHG meetings/events). Members are not allowed to use their IAHI card two nights prior, during, or two nights after an IHG Investors & Leadership Conference.

Q: If I call the reservations line to book a hotel, but the rate is unavailable at that hotel, should I call the hotel directly?

A: No. Reservations must be made in advance through the IAHI reservations line at 1.877.500.4244. Outside the U.S., Canada, and Europe, please call 001.770.604.5555. In Europe, please call our International Reservations line at 00800.60.800.800 to be connected with a reservations operator. In order for a reservation to be complimentary, the hotel must be a participating member of the IAHI. It is recommended that you verify your room reservation one week prior to arrival.

Q: If I own multiple IHG branded hotels, do I have to pay the dues on all hotels to become an IAHI member, or can I only pay the dues for one hotel?

A: Dues for all eligible hotels you own or operate as designated in the license agreement must be paid in full before membership is valid. Hotels that enter the IHG system during the year must be paid in order for you to remain a valid member in good standing. If your hotel is removed from the IHG system during the calendar year, your membership for the terminated hotel will be cancelled.

Q: If my hotel has multiple owners and/or business partners, can we all receive IAHI membership cards?

A: If the designated PC owns or operates a single IHG property, one membership card will be issued when dues are paid. Upon payment of dues, one additional card may be purchased for $400. If the designated PC owns or operates more than one IHG property, two membership cards will be issued when all dues are paid. Upon payment of dues, two additional cards may be purchased for $400 each. Any additional cards can only be issued to individuals that have ownership in the hotel as designated in the license agreement or are executives of the management company.
